Sept 18, 2008 re: 9415 Cottonwood Circle pergola There is an issue of a pergola which was built without approval. We need a plot plan, 8.5 x 11 is fine, with the location of the pergola. We already have a picture of it and it looks very nice. The homeowners just need to send the plot plan with the pergola drawn in. Jeff Nieusma has communicated this via e-mail. re: 3225 Rinn Valley Drive play structure We received e-mail with the pertinent information on the play structure. I e-mail the docs to the committee members, and anticipate approval by Monday. Re: 3515 Cottonwood Circle Landscape plans Submitted plans are approved provided the deck extension is same material and color as existing. Homeowners are responsible for all applicable permits from the city; HOA approval does not address permits in any way. Before beginning any work on the proposed garage in phase 2, HOA DRC will need to see the plans. Re: 3480 Cottonwood Circle Landscape plans Submitted plans are approved with the following changes: - the rock in the ditch should be 4-6 inches - if installing grass west of the driveway, please install it to the west property line to mitigate the weeds near the neighbor's lot. Re: 9360 Homestead Drive landscape plans Question on plans: what is the scribble on the north side of the lot? We are assuming it is a drainage swail. Also need to clarify the rocks in the ditch should be 4-6 inches and the fence should be 3 rail white PVC as per the design guidelines section 3.13. Re: 9340 Homestead Drive paint request Submitted request to paint shutters a dark grey color is approved. ---- General notes from meeting The committee feels the community will be better served if we can provide a list of common requests which can be notification only instead of requests to the DRC. The initial list is: 1. three-rail while PVC fences in the back yard 2. flowers and small shrubs (4' full size) 3. ditches with 4-6 inch cobbles or turf (any culverts will need to follow the request process) 4. repaint or restain same colors as per 3.4 in the guidelines The committee also discussed several issues which would require changes to the covenants, and therefore discussion at a regular HOA board meeting. These include: 1. white fences only 2. remove the 70% live requirement and allow zero-water options 3. change the DRC submission process to require e-mail address for communication and allow electronic submission and results 4. we need to clarify the stance on culverts
